Lan Homestay is a family house in Viet Hai Village, not a company with a marketing department. The only reason we ever hold your details is so that we can answer you, keep your room or your boat seat, and meet the rules Vietnam sets for places that host guests. This page explains exactly what we hold, why, and how to make us delete it.

What we collect, and why

When you send the booking form

The form on our booking page asks for your name, your email address, your WhatsApp number, your nationality, what you would like to book (a room, a tour, transport, or a combination), your arrival and departure dates, how many adults and children are travelling, and anything you choose to write in the message box.

We ask for each of these for a plain reason: the dates and the number of people tell us whether we have space, the nationality helps us judge which boat and which transfer make sense for you, and the email and WhatsApp number are how we reply. Nothing on that page is optional flattery — if a field is not marked as required, you can leave it blank and we will still answer.

The form sends one email to info@lanhomestay.com. It does not go anywhere else. If our website email fails for any reason, the page offers to open WhatsApp for you with the same details already written out, so that your request is not simply lost — but nothing is sent until you press send inside WhatsApp yourself.

When you email us or message us on WhatsApp

We keep the conversation, because that is where your booking details live. Our mailbox runs on Google Workspace, so Google processes that mail on our behalf. WhatsApp is owned by Meta and their own privacy terms apply to the message while it travels; once it reaches us, this policy applies.

When you stay with us

Vietnamese law requires every place that hosts guests to register them with the local authorities, and for foreign visitors that means passport details. We collect this at check-in, pass it to the authorities as required, and keep only what the rules oblige us to keep. We have no say in this part — it applies to every hotel and homestay in the country.

Rooms, meals and drinks are settled at check-out, in person. This website does not take card payments. We never see or store your card number.

When you simply read the site

We use Google Analytics to see which pages people read and roughly which countries they come from. It tells us that a page about the ferry was read four hundred times last month. It does not tell us who you are, and we do not try to find out. Our hosting and our security plugin also record visiting IP addresses in a log for a short time, which is how any website defends itself against attacks.

Cookies

Small files that sit in your browser. This site uses two kinds. The first keeps the site working — remembering your language choice, for example. The second is Google Analytics, which counts visits. You can delete or block all of them in your browser settings; the site will still work, we will simply lose the count.

Who we share your information with

Three groups, and no one else:

  • Google — our email (Google Workspace) and our visit statistics (Google Analytics) run on their services.
  • The partner you asked us to book — if you ask us to arrange a boat, a bus, a limousine or a ferry ticket, we pass on your name and the number of passengers, because the operator cannot issue the ticket otherwise. Nothing more than that.
  • Vietnamese local authorities — the guest registration described above.

We do not sell, rent or trade your details. We do not send marketing email. If you booked with us through Booking.com, Agoda, Airbnb or another platform, that platform has its own privacy policy covering what it collected before passing the reservation to us.

How long we keep it

Enquiries that never turned into a stay: we clear them out once the season they were about has passed. Booking correspondence: we keep it while you are a guest and for a reasonable period afterwards, in case of a question about the stay. Guest registration records: for as long as Vietnamese law requires. Website statistics: Google Analytics keeps these on its own retention schedule and they are not tied to a name.

Your choices

Write to info@lanhomestay.com and ask us to show you what we hold about you, correct something that is wrong, or delete it. We will do it, and we will not ask you why. The only exception is the guest registration data we are legally obliged to retain.

If you are writing from the European Union or the United Kingdom, these are your rights under the GDPR; we apply the same practice to everyone regardless of where they live, because it is simpler and fairer.

Keeping your information safe

The site runs over an encrypted connection (https), sits behind a security plugin and a hosting firewall, and only the family has an account on it. No small website can promise perfection, but we take it seriously, and if anything ever went wrong in a way that affected you, we would tell you rather than hope you did not notice.

Children

Families are very welcome at Lan Homestay, and the booking form asks how many children are travelling so that we can prepare the right beds and the right food. We do not knowingly collect information directly from children; a parent or guardian makes the booking.

Changes to this policy

If we change how we handle your information, we will change this page and update the date below.
